    OVERALL SUMMARY
    Blue Ice Pictures is an independent film and television production company based in Toronto with offices in Los Angeles, London, Cape Town, and Johannesburg. The company’s highly skilled team produces critically acclaimed and commercially viable films, television series, documentaries, and reality series—both domestically and internationally, with a longstanding involvement in international co-productions.

    This Executive Assistant position assists the CEO (Mark Levenstein C’87) of Blue Ice Pictures. This role requires an individual with strong people and organizational skills. But we are also looking for someone who has a genuinely curious nature, works smart, goes beyond usual approaches to solve problems and is dedicated to the position. The position presents tremendous opportunities for growth.

    PRIMARY RESPONSIBILITIES
    • Provide full administrative support including phones, scheduling meetings, processing expense reports and making travel
    arrangements.
    • Organize and oversee daily operations and systems (computer, phone, etc) of small office.
    • Maintain film and television project information.
    • Create and maintain professional contact database.
    • Ensure regular communication and information sharing with Toronto, London and South African offices.
    • Ensure meeting arrangements are completed accurately and include: appropriate materials, web conferencing, conference call details and catering services if required.
    • Understand the business objectives of Blue Ice by maintaining familiarity with and understanding of the entertainment industry.

    REQUIREMENTS
    • The ideal candidate must be organized, proactive, detail-oriented and have excellent customer service skills.
    • Bachelor’s degree required.
    • Previous administrative or production assistant experience in the entertainment industry required.
    • Candidate must be able to work independently while managing multiple projects.
    • Must have excellent computer skills (MAC & PC), including proficiency in MS Office (Word, Excel, Outlook).
    • Knowledge of Movie Magic Budgeting and Scheduling software a plus.
    • Must be extremely organized, detail-oriented and a team player.
    • Strong communication skills – both written and verbal.
    • Must demonstrate a high level of professionalism.
    • Candidate must be resourceful, and must be able to prioritize and juggle various tasks.
    • Occasional overtime necessary.
